Ordering flowers for one bouquet is simple. Ordering flowers for a conference with forty tables, a wedding with a thousand guests or corporate gifting to two hundred clients is not. Get the quantity wrong and you either run short on the day or waste money on flowers nobody sees.

Here is a practical guide to estimating bulk flower quantities, based on how our team at Krish Florist plans events in Delhi.

Start with the list of pieces, not the flowers

Before thinking about stems, list every piece you need.

  • Table centrepieces: how many tables?
  • Stage or backdrop: one piece or several?
  • Entrance: arch, pillars, welcome board?
  • Speaker or guest bouquets: how many?
  • Loose petals: for showers, rangoli or table scatter?
  • Garlands: for guests, idols or decor?
  • Corporate gifts: how many recipients and addresses?

Once you have the list, a florist can calculate the stems needed for each piece.

Table centrepieces

A small, low centrepiece for a round table might use a modest number of stems, while a tall, lush arrangement uses several times more. The biggest variable is style. Agree on one design, approve a sample and multiply by the number of tables. Add one or two spares for last-minute table changes.

Stage and backdrop

Backdrops vary hugely. A simple floral frame might need a few hundred stems; a full floral wall can need thousands. Share the dimensions and a reference image, and your florist will estimate based on density.

Loose petals

Loose petals are sold by weight. As a rough guide:

  • Petal showers for a couple's entry: a few kilograms, depending on guest count
  • Rangoli: depends on size and pattern density
  • Table scatter: a small handful per table

Petals are light but bulky, and they wilt faster than whole flowers, so order them for the same day.

Garlands

Garlands are usually counted by piece or by length. For welcome garlands, count one per honoured guest plus a few spares. For decoration, measure the length of doorways, railings or pillars and allow extra for draping.

Corporate gifting

For gifting, quantity is simple: one bouquet per recipient plus a few spares for last-minute additions. The complexity is logistics. Prepare a spreadsheet with names, addresses, phone numbers and card messages. Our article on Diwali corporate flower gifting explains how to plan multi-address deliveries.

Always add a buffer

Build in ten to fifteen percent extra. Flowers can be damaged in transport, a table count can change and a guest list can grow. A small buffer costs less than a visible gap on the day.

Lead time

Bulk orders need extra time for sourcing, especially for specific colours or imported flowers.

  • Five to seven days for standard bulk orders
  • Two weeks or more during festivals and the wedding season
  • Longer for large imported flower requirements

Budget control

  • Use seasonal flowers, which cost less and look fresher
  • Add greenery to increase fullness at lower cost
  • Choose one standard design for all tables rather than several
  • Reuse ceremony flowers at the reception where possible

Delivery and storage on the day

Large quantities of flowers need somewhere cool to wait. Ask the venue for a shaded room near the setup area, away from kitchens and generators. Buckets of water should be ready for any loose stems. For multi-venue events, stagger deliveries so flowers do not sit around for hours before use.

Getting a quote

Share your list of pieces, dates, venue and any reference images. Our bulk flower order team will prepare a detailed quote. The simple rule

List every piece, approve a sample, multiply carefully and add a buffer. That approach avoids both shortages and waste, and keeps your event looking full and fresh.

How early should I place a bulk flower order?

Five to seven days for standard orders, and two weeks or more during festivals and the wedding season.
